Flowers have been ordered, suits have been picked out, and final alterations on your dress are being finished soon. Responses to your invites are finally showing up in the mail and it all sets in… this thing is really going to happen!

First and foremost, congrats on getting this far and not pulling your hair out. With all the pieces in hand, it’s time to put them together and get everyone on the same page at our final meeting.

During our final meeting, we will be building a full day timeline, dialing-in all the details, and making sure we are all on the same page with everything.

Why do we meet 30 days before?

30 days out from wedding day is the sweet spot where the foundation has been poured but hasn’t quite dried, giving us the flexibility of making small changes (if need be) without being disruptive to the day as a whole.

Can we do a virtual meeting?

We completely get that time is valuable, especially in the final stages of planning your wedding. If connecting virtually is easier for you, we are happy to accommodate.

Do I need to do any prep work before?

The two most helpful things to do prior to our final meeting are to update your wedding day questionnaire and fill in your family photo list. These can be found within your original booking email. If you need a new link to these, be sure to reach out prior to your meeting. Additionally, you can download the template below to create a family photo list.

If you have any other timeline documents from your DJ/band, caterers, or hair/makeup teams, be sure to email those to us ahead of time as well.

How long will this take?

Our final meetings generally take between 30 min. and 1 hour to cover everything and create a final timeline for wedding day.

Timeline & Location(s)

The main topic of discussion will revolve around when and where everything will be taking place. We will have a tentative timeline built from the info provided via your wedding day questionnaire. Preparing a list of the getting ready location(s), ceremony & reception location(s), and any specific location you would like to go for photos helps us ensure we have the correct info for a complete timeline.

If you would like suggestions on timeframes needed, be sure to check out our creating a perfect wedding day timeline post. If you need help picking where to go for photos, we can certainly help there as well. As we build your timeline, we can look at the time we have for travel and ensure the location(s) we choose work within the timeline. Be sure to check out our blog for some location inspiration.

Family dynamics

During the planning process, we have been able to learn about the two of you. But on wedding day, we will be meeting the whole family. If there are any recent divorces, deaths, or sensitive family dynamics, be sure to let us know.

Other vendors

Please bring a list of the other vendors working with you on wedding day (DJ/entertainment, hair/makeup, etc.). Doing so gives us the opportunity to reach out if something needs to be coordinated beforehand.

What happens after?

After our final meeting, we will send you a link containing your wedding day timeline and family photo list. That link will remain active until the day after your event. Be sure to send that link to anyone and everyone who may need that info. Should something change before wedding day, we can easily update your timeline and anyone with that link will have up-to-date info.
